As Lead UX Designer at Aruba, I led the complete overhaul of their Webmail and PEC services, transforming them into a unified, scalable, and user-centric platform. The redesign addressed significant challenges — outdated technology, fragmented user experiences, and high maintenance costs — while aligning with strategic business goals. My approach combined in-depth research, collaborative problem-solving, and a focus on building a scalable, future-ready system.

The Challenge

One product, three inconsistent versions.

The existing Webmail and PEC platforms were outdated, relying on the obsolete Dojo framework and fragmented across multiple versions — "Classic" and "Smart" among them. This led to inconsistencies in user experience, high operational costs, and limited scalability.

Recognizing the urgency, Aruba entrusted my team with designing a responsive, accessible platform that would unify every version under a modern framework, aligned with Aruba's Design System for consistency and brand cohesion.

From research to a shipped, scalable platform.

Research & Strategic Alignment

Workshops with stakeholders across Product, Marketing, and Security teams, plus in-depth UX analysis, mapped out pain points and expectations. User feedback via GetFeedback highlighted complex navigation and limited accessibility as critical issues. I used the MoSCoW prioritization technique to align technical feasibility, user needs, and business objectives.

Design & Prototyping

A single, responsive interface replaced the fragmented versions, adapting seamlessly from desktop to mobile. Navigation was reimagined around a single-level sidebar and centralized tools. Accessibility met international standards, removing the need for redundant lightweight versions. Interactive prototypes validated the design, and an MVP was presented to Aruba's executive team.

Technical Integration & Collaboration

The redesign involved transitioning from Dojo to Angular — improving security and performance while reducing technical debt and enabling faster development cycles. I authored detailed functional documentation and worked closely with development teams to ensure a smooth implementation.

Testing & Iteration

A beta release gathered real-world feedback, with tooltips and onboarding surveys helping users adapt. Iterative usability testing covered email management, file storage, and calendar integration — feedback that directly shaped the final product.

With the platform unified, the next challenge was bringing AI into the daily experience of millions of users — without adding complexity to an interface I'd just spent years simplifying.

AI-Powered Transformation

Redefining how millions of users interact with their inbox.

As Lead Designer, I spearheaded the integration of Artificial Intelligence within Aruba Webmail. I led the design and implementation of a beta feature that enables users to compose emails effortlessly with AI assistance, automatically translate incoming messages, and generate concise, human-like summaries of long threads.

The system also empowers users to draft smart replies directly from message content — noticeably cutting response time in pilot testing.

Beyond productivity, I designed the experience for Aruba's first integrated AI Assistant: a conversational bot providing real-time guidance, which meaningfully reduced customer support requests in the months after launch. These advancements positioned Aruba Webmail as a forward-looking platform blending usability with cutting-edge AI — setting a new benchmark in user-centric email design.
